The CLUVEX project Mid-Term hybrid meeting took place on 22-23 May 2025, in Helsinki, Finland. Representatives from all the CLUVEX Partners/Teams, members of the Expert and Student Advisory Boards, Associated Members attended the meeting onsite/ online. In total, 26 persons attended the event, incl. 8 persons online.


On the 22 May, after welcome words by the coordinator and short round table introduction of the onsite and online participants, during the morning session “RP1 Reporting to EU”, the WP leaders informed about CLUVEX WPs’ work/activities tasks completed and ongoing, deliverables and milestones achieved, lessons-learnt for the 1st Reporting Period (RP1) (covering 1 Jul 2023 – 31 Dec 2024), sumup about submitted the CLUVEX project report to EU & financial reporting. The BioArt Society also delivered a talk about artistic research and critical thinking at the intersection of art, science and society in the CLUVEX project. Each presentation followed by discussions, questions vs. answers.
The afternoon session on the “Virtual Exchange (VE) Weeks and Key Issues” included talks with discussions on Analysis of the CLUVEX 1st & 2nd VE Weeks for Students: sumup and participation statistics; CLUVEX VE concept and its improvements; How to improve moderators’ and students’ engagement (no show; drop out); Role and experience of the CLUVEX Student Advisory Board; Engagement of the educated students (the Climate Messengers) with CU online education; Recruitment of new moderators (incl. education/self-education) and advertisement for students; Agreement on dates for upcoming 3rd, 4th, 5th VE Weeks and Hosts for upcoming VE Weeks.


On 23 May, during the morning session, an overview presentation about questionnaires (e-forms) and data collected were presented and followed by introductions to peer-reviewed papers (which are in preparation) – (i)VE Moderation: Training Programs, Learning Resources, and Climate Data Applications; and (ii) VE concept development for higher education and students coming from different scientific disciplines. It was continued by discussions on upscaling and disseminating the CLUVEX results, collaboration with World Meteorological Organization; experience of the CLUVEX Associated Member (the Odessa National Polytechnic University).
The afternoon session “Next steps until the end of the CLUVEX project” included reporting by WP leaders about WPs’ remaining tasks/ activities/ deliverables/ milestones until end of June 2026. As WP2 on Preparatory steps for VEs” was already completed, and WP3 on “Training of moderators for VEs” is ending by end of June 2026, the major efforts during 2nd Reporting Period (RP2), are focused on WP4 “Training of students for VEs”. WP5 delivered impressive video recording (with AI usage) on Sustainability Strategy.
At the end of the meeting, discussions continued for upcoming VE Weeks for students in 2025-2026, short updates and discussions on recently completed (Jan – May 2025) and planned upcoming (May 2025 – Jun 2026) events/ meetings/ presentations/ activities related to the CLUVEX project dissemination, upscaling, networking at national and international levels. The member of the CLUVEX Expert Advisory Board – Dr. Katja Lauri – provided very useful comments and remarks that the “CLUVEX project is working smoothly … the established partnership is good …it is important to keep it running sustainably … use of new tools such as AI (by Yerevan State Univ) is very good in online education … more difficult to get committed (for students in VE Weeks), and not only for online, but also for face-to-face … members of Expert Advisory Board need to observe VE Weeks (by themselves)”, and finally as of now “CLUVEX is in perfect situation”.
The social programme of the CLUVEX Mid-Term hybrid meeting included (for onsite participants) the walking tour around the Kumpula Campus of the Univ of Helsinki, excursion/ visit to the radar facility on roof of the Physicum Building, and the CLUVEX project dinner – all events arranged by the local host, the University of Helsinki.
It should be noted that the WP4 activities include organization and carrying out remaining three VE Weeks for students, which will be Zoom hosted by Univ Helsinki. The VE Weeks will take place: 3rd — 6-10 Oct 2025, 4th — 23-27 Feb 2026, and 5th — 20-24 Apr 2026, where the role of guiding/moderating hosts will be played by colleagues from the Univ Copenhagen and Odessa National Univ, with involvement of new persons from the Yerevan State Univ and Taras Shevchenko National Univ of Kyiv.
Moreover, the WP3 will continue to train also new moderators before the start of each new VE Week by arranging every time three “Moderators-Get-Together” zoom events. During these to provide/ refresh information about the CLUVEX VE concept, programme of VE Week for students, aspects of registration in the DigiCampus area for moderators; introduction in the Climate Horizon group exercise with demonstration of web-based tools for climate related data visualisation, analysis and interpretation; using Miro-board and work in breakout-zoom-rooms; answering on questions from the moderators.
